UBmail access for alumni to be retired

In 2009, UB began permitting alumni to keep their “@buffalo.edu” email addresses after graduation. Due to new SUNY security requirements, the resulting impact on the university to maintain these accounts in a compliant manner, as well as UB’s own assessment of risk to the university to continue to maintain these accounts, UBmail will no longer be provided to new grads.

Similar to other IT services, such as UB Box and UB Learns, @buffalo.edu email accounts will remain active for alumni for a six-month period following graduation — at which time they will be deactivated.

Faculty and staff should be aware of this change in order to answer questions from students and alumni.

May 2025 grads are the first to be affected by this change, which will go into effect on Dec. 15. After Dec. 15, messages sent to their @buffalo.edu addresses — including password recovery messages — will no longer be accessible.

Access to other UB-provided software and services also ends six months after graduation per the existing policy, including:

  • Microsoft 365 (Office apps, OneDrive, etc.).
  • UBbox.
  • Zoom (UB licensed).
  • UB Learns.
  • Panopto (recorded lectures and videos).
  • UBfs (UB File Service).
  • UB personal websites.

Graduates from earlier years will also be affected beginning this fall, when UB begins phasing out older alumni email accounts.

“Because this change may significantly impact our new grads as well as alumni who have been using UBmail since they graduated, we are notifying them early to provide ample time for them to take action and preserve any important information,” says Thomas O. McArthur, associate vice president for alumni engagement and annual giving.

Alumni are encouraged to begin preparing now by updating their email address with contacts, as well as with services like LinkedIn, banking and payment platforms, social media, streaming services and job sites.

Before deactivation, alumni may set up an out-of-office or forwarding message. The UBIT Help Center will provide instructions on exporting messages from UBmail.

The Office of Alumni Engagement has notified May 2025 grads and will send reminders until the mid-December deactivation. UBIT will also communicate via email and through MyUB. Notification and subsequent reminders will also be sent to those who graduated prior to 2025, starting in June.

This change does not affect UB retirees, graduates who are employed by the university or those currently enrolled in classes. These accounts will remain active. Retirees must still log in at least once every 90 days and use multifactor authentication to maintain access.
